This Privacy Policy explains how Construction WorkFlow Solutions, LLC (“CWS,” “we,” “us,” or “our”) collects, uses, and shares information when you use Pro PaintOps by CWS (the “Service”). By using the Service, you agree to the practices described here. If you do not agree, please do not use the Service.
1. Information We Collect
a. Account Information
When you sign up, we collect information such as your name, email address, company name, role, password (stored in hashed form), and contact details.
b. Customer Data You Enter
The Service is designed for painting contractors to manage their own customers. You may enter information about your end customers, including names, addresses, phone numbers, email addresses, property details, photos, estimates, proposals, signatures, payment status, and notes (“Customer Data”). You are the controller of Customer Data; CWS processes it on your behalf to provide the Service.
c. Usage and Log Data
We automatically collect log information when you use the Service, including IP address, browser type, device information, pages viewed, actions taken, and timestamps. This helps us secure, debug, and improve the Service.
d. Cookies and Sessions
We use cookies and similar technologies (including a session cookie named pl_token) to keep you signed in, remember preferences, and protect against abuse. You can control cookies through your browser settings, but disabling them may limit core functionality.
2. How We Use Information
- To provide, maintain, and improve the Service;
- To authenticate users and protect accounts;
- To send transactional messages such as proposal links, reminders, and SMS notifications to your end customers on your behalf;
- To provide AI-assisted features such as estimating helpers and content generation;
- To respond to support requests and communicate with you about the Service;
- To monitor and prevent fraud, abuse, security incidents, and policy violations;
- To comply with legal obligations and enforce our agreements.
3. Sharing with Subprocessors and Third Parties
We share information with vendors that help us operate the Service. Each subprocessor is contractually obligated to handle data securely and only as needed to perform their services. Current subprocessors include:
- Twilio - to deliver SMS notifications, reminders, and crew alerts;
- SMTP email providers - to deliver transactional email and proposals;
- Google Maps - for address lookup, geocoding, mapping, and property data;
- OpenAI - for AI-assisted estimating and text generation;
- Cloud hosting and database providers - to host the application and store data.
We do not sell personal information. We may disclose information when required by law, to enforce our terms, or to protect the rights, property, or safety of CWS, our users, or others. If CWS is involved in a merger, acquisition, or asset sale, your information may be transferred as part of that transaction.
4. Data Retention
We retain account and Customer Data for as long as your account is active and as needed to provide the Service. After you close your account, we will delete or anonymize Customer Data within a reasonable period, except where retention is required for legal, accounting, or security purposes.
5. Security
We use reasonable administrative, technical, and physical safeguards designed to protect information, including encryption in transit, hashed passwords, role-based access controls, and routine monitoring. No system is perfectly secure, however, and we cannot guarantee absolute security.
6. Your Rights
Depending on your location, you may have rights to access, correct, export, or delete personal information we hold about you, and to object to or restrict certain processing. To exercise these rights, contact us at privacy@propaintlogic.com. If you are an end customer of one of our contractor users, please contact that contractor directly, as they are the controller of your information; we will assist them as needed.
7. Children’s Data
The Service is not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can delete it.
8. International Transfers
We are based in the United States, and our subprocessors may process information in the United States and other countries. By using the Service, you understand that information may be transferred to and processed in jurisdictions whose data-protection laws may differ from those of your country.
9. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide reasonable notice (for example, by email or in-app notice). Continued use of the Service after the effective date of an updated Policy constitutes acceptance of the changes.
